Dealing with Changes and Challenges
Measuring Success and Learning from Experience
These are critical skills that can lead to personal and professional success.
So, let’s get started!

The Importance of Project Planning
A solid project plan lays the foundation for project success. It involves determining your goals and what you need to do to achieve them. This includes identifying tasks you need to carry out and how many experts you will need to share the workload and deliver on time. You will also want to measure progress toward your goals often to see if the project is on track.
Project planning techniques enable you and the team to think things through. Like anticipating challenges and opportunities and making informed decisions. These discussions lead to the creation of a comprehensive roadmap for project execution.
Project planning techniques support the delivery of a product that meets needs and requirements. Planning also helps the team focus on the work to meet needs and requirements and achieve goals.
Every project is an investment. Project planning techniques help you calculate costs to achieve your goals. And they help you determine how and when to use project resources. Project resources can be people, money, or materials.
All team members must understand their roles and responsibilities. If tasks and timelines are clear, team members are likelier to complete work according to plan. Team alignment is favourable and gives you a better chance at achieving your goals.
With a solid plan, projects are more likely to remain within budget, meet deadlines, and stay on track.
Identifying Objectives and Scope
The first step in any project is to identify the objectives and scope.
As a team, decide what your goals are. Identify these using the ‘SMART’ approach.
S — Specific
M — Measurable
A — Achievable
R — Relevant
T — Time-bound
Then, outline the parameters within which the project will operate. This means identifying the work involved. This is determined using the needs and requirements of the project. What will you deliver?
Define the boundaries and limitations of the project. Identify anything that may get in the way of achieving your goals. Think of anything you must wait for before moving forward and staying on track.
Identifying objectives and scope is a vital step in any project. It makes expectations clear to everyone.
Now, you are ready to work on the project schedule.
Establishing Milestones and Deadlines
There is one simple rule here. Break down the work into small, manageable pieces and set achievable milestones. Realistic workload and deadlines help keep the team motivated and on track.
These milestones should be specific, measurable, and time-bound.
List all the tasks and the required sequence to achieve these milestones. Consider any potential roadblocks or delays that may arise during the project. By doing so, the team can plan to stay on track and avoid falling behind schedule.
Now, you’re ready to tackle the project budget.

Resource Allocation and Budgeting
You must select the right team members for tasks based on their availability and expertise. Remember your tasks and milestones? Now, you can assign resources to tasks and estimate the effort for each one. Knowing how much each resource costs lets you calculate their time against project tasks. This should provide you with a lot of the project costs.
Keeping a project on a budget means delivering on time. You can increase the odds of delivering on time by doing things within your control. You can hold regular meetings, request progress reports and status updates. Keep everyone on the same page regarding scope and schedule and make the most of your resources, and you will be in good shape.
But what if something goes wrong? And it’s out of your control?
Let’s talk risks!
Risk Management and Contingency Planning
This is the most overlooked area of project planning and also project execution. Nobody wants to think about what can go wrong. But you need to. Once you have a list of these potential events or threats, you must assess them. How likely are they to happen, and how much would it impact the project?
Next, think about what you can do to reduce them from happening. You may need to accept and work around it when it’s entirely out of your control. When the impact is huge, you will want to have a backup plan. This is also called contingency planning. When plan ‘A’ doesn’t work out, have a plan ‘B’ or even a plan ‘C.’
Risk planning with your team helps to boost confidence. It makes everyone feel like whatever comes your way, you have a plan, and you’ll be able to handle it. It helps the team respond to unforeseen changes and makes it easier to change direction on a dime.
A resilient team is capable of overcoming any challenges that may arise.
Time Management Techniques
You can use techniques and strategies to use your time and resources best. One effective method is to rank tasks based on their importance and urgency. This helps you to focus on the most critical tasks first.
Another strategy is to break down larger tasks into smaller, more manageable ones. Setting clear goals and deadlines for each task can help you stay on track and motivated.
Taking regular breaks and practicing self-care are also essential to your well-being. This includes exercise, meditation, and spending time with friends and family. These techniques can help you manage time, increase productivity, and avoid burnout.
Communication and Team Collaboration
Effective communication is essential for the success of any project. It is the critical element that holds project teams together. Communicating allows team members to stay informed and engaged. Best practices for effective communication within project teams include:
Regular team meetings
Clear and concise communication
Active listening
Open and honest feedback
Appropriate communication tools and technologies
Clear communication channels help the project team know how to communicate. Project teams can better work together and achieve objectives by focusing on communication.
Next up, less talking and more action!

Putting Your Plan into Action
It is crucial to transition from the planning phase to the execution stage. This must consider various factors, including resources, timelines, and team dynamics. One helpful approach is to conduct a kickoff meeting. All team members meet at this meeting and discuss critical aspects of delivery. It will be essential to re-iterate the project scope and timeline at this meeting.
Ensure that team member roles and responsibilities are clear and communicated to everyone. This will help keep everyone on the same page and avoid conflict.
You must track progress to ensure the project stays on schedule. Also, ensure that you watch budget and resource use so you don’t run out of money before the project is complete.
Throughout the project, adjustments or changes are inevitable. This could involve revising timelines or bringing in more people to do the work. It could also mean revised roles and responsibilities.
Let’s hope you’re not asked to deliver more for less money. It happens all the time.
Dealing with Changes and Challenges
Project Status: It’s complicated!
On any project, it is a guarantee that the original plan will change. Changes could occur from shifting priorities, new information, or external circumstances. Yet, you need to understand that change can be right. It can present opportunities for growth, innovation, and improvement.
Under these circumstances, the project plan must adapt to the environment. This involves being able to identify potential challenges and address them. It may also mean adjusting timelines, budgets, or resources as needed. The project must remain on track and continue progressing toward its goals. As they say in Show Business, “The show must go on.”
While change in a project may be inevitable, it doesn’t have to be a negative experience. You could realize opportunities if you are proactive and adaptable to addressing change.
Speaking of learning from experience, let’s now discuss feedback.
Measuring Success and Learning from Experience
To improve your project planning skills, you need to understand what went well and what didn’t, and why. This knowledge can help improve the quality of your work. At the end of projects, teams will come together to discuss and assess this. It is usually documented and shared with everyone for future reference.
Project performance is assessed on the following:
Delivered within budget
Delivered on time
Delivered within scope
Measure of Quality
The measure of customer satisfaction
The measure of team satisfaction
Feedback loops can also help identify areas for improvement. Having regular feedback sessions during the project helps identify opportunities for improvement earlier. Leverage these methods to enhance your project planning skills. This will increase the chances of success on future projects.
Let’s stop there for now.
But, I will leave you with this.
